Frequently asked questions

Grouped by topic. Each question opens on its own, from the keyboard or the mouse.

The app and the stores

Where do I download PDFsigna?

The Windows app is on the Microsoft Store. The Mac app is in Apple review and will be on the Mac App Store once they approve it; we give no date because it isn’t ours to give. It is only distributed through the stores: this website sells nothing and has no downloads.

There is no release date, because we would rather have none than have one we miss.

Do I need to create an account?

No, now or in any version. No sign-up, no email, no login. There is nothing to buy today; if there ever is, it would go through your store account, not one of ours.

Which systems will it run on?

Windows is already on the Microsoft Store, and the Mac version is in Apple’s review. iPhone, iPad and Android are a roadmap possibility with no date; if they happen, they’ll be genuinely native on each or not at all: we are not going to wrap a web page in a window and call it an app.

Does it work offline?

Reading, annotating, filling in forms, placing a visual signature and signing all happen on your machine. Three things need the network because a third party provides them: the timestamp, the revocation check on the certificate and, on Windows, downloading the trusted lists. Offline you can still sign, without a timestamp, and the app tells you so.

Certificates

How to get a digital certificate

To sign with a certificate you need one in your name, issued by a trust service provider. In Spain the usual one is the free FNMT personal certificate (certificado de persona física): you request it on the FNMT’s website, prove your identity the way it describes, and download and install it on the same computer you requested it from. The FNMT explains each step on that page.

Elsewhere in the EU, or from another provider, the European Commission lists each country’s qualified providers in its trusted list browser.

Once it is installed, PDFsigna finds it in the system keychain (macOS) or the certificate store (Windows). If you have it as a .p12 or .pfx file, on the Mac the app imports it from the signing panel; on Windows you install it by double-clicking the file, with the system’s own wizard.

My certificate is a .p12 file. Can I use it?

Yes. On the Mac, the signing panel has “Import a .p12 File…”, which adds it to your login keychain and shows you what went in, with the option to undo it. The file’s password is not stored. On Windows, double-click the file and follow the system’s Certificate Import Wizard: PDFsigna will find it in the certificate store.

Can I sign with a national ID card or another smart card?

Not in version 1: no smart card is promised, the Spanish national ID card included. The Spanish card is not a standard PIV card and depends on the vendor’s own module, which a Mac App Store app cannot load; standard PIV cards aren’t offered either until they’ve been tested with a real one, and that has no date. A certificate in the keychain or in a .p12 file covers the common case.

What if I don’t have a certificate?

You can place your handwriting on the page, free and unlimited. It is a visual signature, level Simple: “Not an advanced signature. Limited evidential weight.” The app says so before you save, and the file comes out marked, never signed. What it is worth, and what it isn’t →

The legal levels and validation

What is the coloured band above the document?

The legal level of the signature, always with a symbol and a label, never colour alone. Before you sign it says which level you are about to get; on a signed document, what is in it. It can’t be hidden. The five levels →

Why does my qualified certificate show as “Advanced” on the Mac?

Calling a certificate qualified requires checking it against the European trusted list. The Windows app already does that; the Mac app doesn’t yet, so until it does it treats no certificate as qualified and its band stops at “Advanced”. It is today’s limit, and we would rather show too little than promise too much.

Why does a signature show “Simple (identity not verified)”?

Because nobody vouches for the signer’s identity. To call a signature “Advanced”, the app checks that the certificate was issued by a recognised provider: that its chain leads to a root the system trusts. A self-signed certificate, or one whose chain leads nowhere, can sign with flawless cryptography and still prove nothing about who signed; so it stays at “Simple” and the app tells you why. A certificate from a recognised trust service provider shows “Advanced”.

What does “Validity can’t be confirmed” mean?

That the signature can be called neither valid nor invalid: the document changed after signing in a way that can’t be treated as allowed, or it contains something we can’t check. It is not a sixth level and not an accusation of tampering, which is why it uses none of the five level colours.

Privacy

Are my documents or my certificate uploaded anywhere?

No. All the work on the document happens on your machine and the private key never leaves the system store. The only things that go out to the network are what a signature needs: the digest sent to the timestamping authority and the certificate’s revocation checks — never the document. What happens to what I write in the support form?

We use it to answer you and for nothing else, and we delete it at most 12 months after our last reply. Cloudflare delivers it by email, as our processor. The detail is in the privacy policy →

Plans and payment

What’s the difference between Free and Pro?

Free, forever: the reader, annotation, unlimited visual signatures, unlimited validation, forms, and up to ten certificate-signed documents a day, with one discreet “Signed with PDFsigna.com” line in the signature box. Pro doesn’t exist yet: it’s an option we’re weighing, with no date. What it might include — unlimited certificate signing, no such line, and the rest listed on the comparison page — is a sketch that may change, and that page also says which parts aren’t even built.

How much does it cost?

Version 1.0 is free. A paid Pro plan is a possibility we’re considering, but it doesn’t exist today, and we don’t know when it could arrive or what it would cost. If it does, it would be an in-app purchase.

What about refunds and cancellations?

There is nothing to refund or cancel today: version 1.0 is free and has no subscription. If a paid plan ever exists, purchase, renewal, refunds and withdrawal would be handled by Apple or Microsoft under their own terms. What you sign stays signed, whatever happens to the app. Terms, section 6 →
